At Inventi, we are committed to protecting and respecting your privacy. This Candidate Privacy Notice explains how we collect, handle, and protect your personal data during our hiring process.

Because Inventi acts as the data controller, we are responsible for deciding how your information is used and kept safe. Your trust is important to us, so please take a moment to read through this notice to understand our standard practices and your rights.

Information we collect about you

To get a clear picture of your skills and experience, Inventi collects several types of information about you, including:

  • Contact & profile details: Your name, email, phone number, and links to professional profiles like LinkedIn or GitHub.
  • Application documents: Information from your resume, CV, and cover letter, such as your work history, education, language skills, and any other details you choose to share within the application form or during interviews.
  • Your preferences: Details about the type of role you’re looking for, salary expectations, relocation preferences, and other benefits.
  • Public professional data: Information relevant to your professional life that is publicly available online (for example, your public LinkedIn profile).
  • Referral information: Data provided by third parties who have recommended you for a position at Inventi.
  • Background verifications: Because we work closely with the financial sector, building a foundation of trust is incredibly important to us. To ensure we are creating a secure and professional environment for our clients and our team, we take care to verify the details shared during the application process – always staying within the scope of what is permitted by law. Notably, we perform checks regarding your impeccable reputation to ensure the security of our operations (we do not accept candidates convicted of serious felonies or intentional crimes against property, the financial system, or public service, as defined in the Republic of Lithuania Law on Banks). We value your time and privacy, so this check is typically conducted only for candidates at the final stages of our process and at our expenses.

How we use your data

We use your information primarily to manage the hiring process and find the best fit for our team. Specifically, we use it to:

  • Manage your application: Evaluate your skills, qualifications, and suitability for the role you applied for.
  • Keep you updated: Communicate with you throughout the process regarding your application status
  • Community & future opportunities: We love staying in touch with talented people. With your consent, we may reach out to invite you to join our community events, share industry insights, or notify you of upcoming job openings that match your profile.
  • Meet legal requirements: Comply with labor laws (such as equal opportunity monitoring) or respond to valid legal requests.

Our recruitment process

Shortlisting: We review your application, CV, profiles and/or cover letter to see if your experience meets the basic requirements for the role.
Evaluation: If shortlisted, we use information from interviews and any technical tests to assess your fit for the team.
Final checks: If we decide to move forward with your candidacy, we may verify references and conduct the background checks mentioned previously.

The legal side of things

It is in our legitimate interest to process your data to find the most suitable candidates for our business and keep the records of the process. Processing this information is also a necessary step before we can enter into an employment agreement with you.

Providing your data is voluntary, but it is necessary for us to consider your application. If we lack key information – like your work history or required background check – we unfortunately won't be able to move forward with your candidacy.

In the event of a legal claim, we use this data to demonstrate that we have conducted the recruitment exercise in a fair and transparent way.

With your consent, we may also use your data to contact you again to inform you about the community events or in case we have an opening for a similar role that match your profile. You may withdraw your consent for us to contact you about future roles or events at any time.

Who has access to your data?

Your information is only shared with people who require it to perform their roles in the hiring process:

  • Internal access: This includes our HR team, hiring managers, and specific team members involved in your interviews or technical evaluations.
  • Legal & Regulatory Authorities: If required by law, we may share specific data to comply with legal obligations (such as a court order). In these rare cases, we strictly limit the disclosure to only what is absolutely necessary.
  • Service Providers: We partner with trusted third-party vendors to provide a seamless experience. This includes Workable, our recruitment platform, which hosts and processes your data according to our strict instructions (if you would like to learn more about how Workable handles data, you can also view their Privacy Policy). If you engage with our community activities, we may also share limited information (such as your name and email) with event registration platforms to manage your attendance, or email distribution services to send you updates and invitations. We ensure that all our partners maintain high security standards and only use your data for the specific purposes we’ve authorized.

How long do we keep your data?

We don't keep your information longer than we need it. We typically retain your data for up to 3 years after your last application. This allows us to prove that our recruitment process was fair and transparent, and it helps us reach back out to you if a similar role opens up that matches your profile.

If you join the team, the data collected during the application and recruitment process becomes a part of your employment record.

Automated tools and AI in our hiring process

To handle applications efficiently, we use software tools with automated and AI-based features, including a recruitment platform that may generate a suitability score and AI tools that help summarise and organise applications.

These tools only support our team. All hiring decisions are made by our recruiters and hiring managers, who can disregard any automated output; we do not make decisions about you based solely on automated processing.

Your rights

We believe you should have full control over your personal information.

You may request access to an overview or a copy of your data, or ask for portability to transfer your information to another organisation. If you find that any of the information we hold is inaccurate, you have the right to request a correction.

You also have the right to object to our processing of your data, particularly when we rely on a legitimate interest and your specific situation warrants an objection. Furthermore, you can withdraw your consent, request that we restrict how we use your information, or ask for the erasure of your data entirely.

If you feel that our response is unsatisfactory or that we are processing your data in a way that does not comply with the law, you have the right to lodge a complaint with a data protection supervisory authority.

Changes to this notice

We reserve the right to modify this Notice by posting changes to our website. If you submit additional data or request to be considered for our position following the effective date of the modified Notice, we will handle your Candidate data following the Notice in effect at that time.
